Welcome to our official PO & Invoice Submission Guide. Once your vendor onboarding process is complete, use this guide to manage your Purchase Orders (POs) and invoice submissions. It outlines how to start work, submit invoices correctly, and ensure prompt payment — helping maintain a smooth and compliant partnership with Payward.

Before beginning any work with Payward, vendors must have:

  • A fully executed Contract, Agreement,Statement of Work (SOW), Order Form, Insertion Order, Quote (A form of supporting documentation that has been signed and executed between both parties).

  • A formal Purchase Order (PO) issued by Payward.

 

Key Points

  • The PO defines scope, deliverables, payment terms, billing entity, currency, and submission instructions.

  • Work must not start until a PO has been issued.

  • Any changes in scope or budget requires an Amendment or Change Order to be signed and executed between both parties; in which an update to the existing PO or new PO should be issued before proceeding.

  • Performing work outside the approved PO scope may result in delayed or denied payments.

 

Invoice(s) must be emailed timely (in accordance with the contract terms) by emailing the invoice as a PDF attachment to your Payward contact and the Payward Accounts Payable team.

To avoid processing delays, make sure your invoice includes the following:

  • A valid PO number (one PO per invoice)

  • The correct Payward legal entity and billing address

  • Your Payward point of contact

  • Matching currency as stated on the PO

  • A single PDF attachment (not password-protected)

  • Service Dates (beginning and ending dates) aligning with the work performed on the invoice

  • Payment Terms (Net 30, etc.) in accordance with the agreement (contract)

 

Payward processes payments according to contracted payment terms once invoices pass verification and approvals.

Q: I don’t have a PO yet — what should I do?

A: Contact your Kraken business partner to request a PO before starting work.

Q: Who do I contact for invoice questions?

A: Email the Kraken Accounts Payable team directly for any follow up questions - and include your Invoice number & PO number in the email subject line for ease of reference.

  • Begin work only after receiving a valid PO.

  • Submit invoices via email

  • Follow the invoice checklist to prevent delays.

  • Payward pays based on contracted terms after invoice validation.
